Collection and use of personal data of customers, suppliers and other contractors
We would like to make you aware of the fact that we will collect and use the personal data that you provide to us, as this is necessary to conclude and execute any agreement with you. This applies both to our (potential) customers and to parties from whom we purchase goods and/or services.
If you are a (potential) customer of us, our use of your data will enable us to send you a quote, to determine with which specifications or wishes a specific item or service has to comply, to deliver goods or to carry out work for you, to provide invoices and communicate with you smoothly and efficiently about the implementation aspects of the agreement.
As a (potential) supplier or other customer, your personal data is equally vital for the closing and the execution of the agreement. In purchasing, your personal data is needed because it allows us to advise you with which specifications or wishes a particular item or service must comply in our opinion, send you a request for a quote or to place an order with you, pay your invoices and communicate with you quickly and efficiently about other aspects of the agreement.
You have no obligation to provide us with your personal data. If you provide us with no (or insufficient) personal data, then it may be possible that we can’t perform the aforementioned activities.
Sharing with third parties
Regarding the execution of a possible agreement with you, it is possible that we have to provide your personal data to parties that supply parts, materials and products to us or carry out work we have commissioned to them. In addition, we use external server space for the storage of (parts of) our sales and purchasing administration, which includes your personal data. Your personal data is therefore provided to the provider of server space. We also use Microsoft Office and its related storage facilities for emails and other files.
Retention period personal data
If you have requested us for a quote but you haven’t become a customer, we will remove your personal data, at the latest one year after our last contact. Also, if we have received a quote from you and we haven’t become your customer, we will remove your personal data, at the latest one year after our last contact. If you have become our customer or if we have become yours, we will store your personal data for the duration of seven years after the financial year in which the contract with you has been executed. The seven-year period corresponds with the period during which we are obligated to keep our administration for the Tax Authorities. After this period we will delete your personal data.
You have the right to ask us to see your personal data. If there is cause to do so, you may also request us to supplement your personal data or to modify inaccuracies. In addition, you have the right to request the deletion of your personal data or to limit the use of your personal data.
You can also object to the collection and use of your data or file a complaint with the Dutch Data Protection Authority.
